Requirements
- Minimum certificate qualification (e.g., Certificate in Business Administration, Front Office Management, or related field)
- At least 1 year of experience in a receptionist or front desk role
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment
- Strong organizational and multitasking abilities
- Professional appearance and demeanor
- Ability to handle confidential information with discretion
- Customer service-oriented mindset
- Flexibility to work occasional overtime or assist with events
- Familiarity with scheduling software or switchboard systems is a plus
Responsibilities
- Greet and welcome visitors, clients, and employees in a friendly and professional manner
- Answer and direct incoming phone calls to appropriate departments or individuals
- Manage the front desk area, ensuring it is clean, organized, and well-stocked with necessary supplies
- Receive and distribute mail, packages, and deliveries
- Schedule and coordinate meeting room bookings and visitor access
- Assist with administrative tasks such as data entry, filing, and document preparation
- Support HR with onboarding paperwork and visitor sign-in procedures
- Monitor and order office supplies as needed
- Coordinate with building management for maintenance or security issues
- Provide information and directions to visitors and staff as required
- Handle inquiries and resolve minor issues with a calm and solution-oriented approach
- Assist in organizing company events and team activities onsite
